Please read these terms before booking. By using our services you agree to these terms.
1. Service Provider Role
Digiheave Travel (a division of Digiheave, registered in India) acts as a travel intermediary and facilitator. All travel services including accommodation, transportation, tours, and guides are delivered by our contracted local service partners in Japan. Digiheave coordinates and manages the end-to-end travel experience.
2. Booking & Payment
- All bookings confirmed upon receipt of advance payment as specified in the quotation.
- Standard payment: 50% advance at booking, balance due 15 days before travel.
- Accepted methods: bank transfer, UPI, Razorpay, and international wire transfer.
- All prices quoted in INR unless otherwise specified. Forex fluctuations may affect pricing for bookings over 30 days out.
- GST charged as applicable on the service fee component.
3. Cancellation & Refund Policy
- More than 30 days before travel: Full refund minus processing fee (5% or INR 5,000, whichever is higher).
- 15-30 days before travel: 50% of total booking value retained.
- Less than 15 days: 100% retained.
- No-show: No refund applicable.
- Refunds processed within 7-10 business days to original payment method.
- Airline tickets, rail passes, and event bookings may have separate non-refundable terms.
4. Changes & Amendments
- Changes requested more than 15 days before travel accommodated subject to vendor availability.
- Changes within 15 days may incur additional charges.
- Date changes treated as cancellation + rebooking.
5. Liability
- Digiheave Travel is not liable for third-party vendor service quality issues but will coordinate resolution.
- Force majeure events are not covered under standard refund policy. We will maximize vendor refunds or rebooking.
- Travel insurance strongly recommended for all travelers.
6. B2B Partner Terms
- B2B net rates are confidential and must not be disclosed to end clients or competing agents.
- Partners may add their own markup to net rates.
- White-label materials provided for use under the partner brand only.
- Rate validity as specified in each quotation. Expired quotes must be re-confirmed.
- Payment terms as agreed in partnership agreement.
7. Travel Documents & Visa
- Travelers responsible for valid passports (6+ months validity) and visas.
- Visa assistance is facilitation only. Approval at embassy discretion.
- Visa rejection does not entitle automatic refund. Standard cancellation policy applies.
8. Dispute Resolution
Disputes subject to Indian jurisdiction. We encourage direct communication first, followed by mediation if necessary.
9. Privacy
Personal information used solely for trip coordination and shared with relevant service providers. We do not sell or share data with unrelated third parties.
